Executive Committee

The activities of the Association are managed by an Executive Committee consisting of up to 24 elected members, along with representative members from each of the following organisations:
 
·      Association of District Councils
·      Devon Association of Parish Councils
·      County Council of Devon
·      Dartmoor National Park 
 
The Executive Council currently holds three meetings, which members are expected to attend.  An Annual General Meeting is also held for the purposes of electing Executive Council members and presenting the audited accounts.  All members of the Association are invited to this.
 
The role of the Secretariat
The Association has an agency agreement with the Community Council of Devon, currently.  This agreement includes the provision of:

·      a secretariat service to the Executive Committee
·      administration of the Association’s membership scheme
·      a financial and book-keeping service
 
The role of the Chair 
 
To preside over meetings in a fair and balanced manner that encourages contributions and achieves the objectives of the meeting by maintaining focus, seeking consensus, summarising views and conclusions and resolving conflict.
 
The Chair should:

  • brief themselves and prepare fully
  • be punctual
  • lead the team
  • encourage participation
  • stimulate an exchange of ideas and experience
  • ensure that all have a chance to express their views freely
  • keep the members aware of objectives
  • maintain focus
  • guide and progress discussion towards achieving the objectives
  • participate, but not dominate
  • clarify misunderstandings
  • co-ordinate the views of members

The Vice Chair
Delegates for the Chair. The Vice Chair should also shadow the Chair in order to prepare for their future role as Chair.
 
The Treasurer 
The treasurer has a hands length role with financial and book keeping services undertaken by CCD.  They are also cheque signatory and liaise with the secretary on financial matters, reporting to meetings on finance.
